Questions before
the first step.
What can be built, how we work together, and what to know about technology, costs and handover.
Services & getting started
Which workflows can you automate?
Tasks where your team repeats the same steps: matching inquiries, capturing document details, preparing quotes or following up on approvals. We choose a first workflow with a clear input and a result you can check.
Do you also develop websites and internal applications?
Yes. You can get a website that makes your offer clear or an internal application for tasks, data and approvals. Both can connect to your existing workflows. We agree the right scope first.
Which details do you need for an enquiry?
What would you like to simplify, which programs do you use and what should change? A few sentences are enough. You do not need to send passwords, customer data or confidential documents with your first inquiry.
Working together & costs
How does working together work?
You speak directly to the developer building your solution, from the first discussion to handover. Collaboration is remote. A message describing your task is enough to start; you do not need to book a call.
What does a project cost, and how long does it take?
After the initial discussion, you receive a proposal covering the work, costs and schedule. Effort depends mainly on the systems, data and exceptions involved. Ongoing provider fees and optional support are listed separately.
How is the scope of a process sprint defined?
We choose one workflow with a clear input and a result that can be checked. The offer records the systems involved, exceptions and acceptance cases. Other workflows or additional features require a separate agreement.
What happens to requirements discovered during the sprint?
New requirements are recorded and assessed separately. We clarify their effect on scope, cost and schedule before implementing them. The originally agreed task stays traceable.
Technology & data
Does our existing software need to be replaced?
Your existing software is the starting point. We first check how the systems can exchange data and what access is needed. That shows whether a connection is enough or something needs to be added.
Does automation require AI?
Fixed rules are enough for many workflows. AI can help interpret free text or extract details from documents with varying layouts. The task determines what is needed. Important results are checked.
How do you check whether our CRM and ERP can connect?
I review documentation, available APIs or file exchanges, licence terms and permitted read and write access. Only then can a data flow be agreed sensibly. Missing or unsuitable access is stated as a limit.
When do you use n8n rather than a custom integration?
n8n can connect suitable triggers and workflow steps. Custom code makes sense when it represents data logic or requirements more clearly. Available access, operation and maintainability of your workflow determine the choice.
How do you handle confidential data?
We clarify in advance which data the solution needs, who may access it and which providers are involved. A description and anonymised examples are enough for the initial review. Please leave passwords and confidential documents out of your first enquiry.
Control & handover
What happens when errors or unclear details occur?
Unclear cases are passed on for review. We define who is responsible, when a workflow should stop and which actions need approval. Exceptions stay visible and decisions remain with the right person.
What happens when a connected system is unavailable?
The workflow needs agreed error states, bounded retries and a responsible person. We define when data may be sent again and when review is needed. A missing confirmation is not treated as a successful transfer.
What do we receive at handover?
The agreed solution, documentation, access and an introduction to using it. We also clarify operating responsibilities and what to do if something fails. Maintenance and later extensions can be agreed separately.
Does the sprint include ongoing support?
Handover clarifies the agreed operating model and responsibilities. Continuous monitoring, maintenance, additional provider fees and later extensions are included only when explicitly agreed.
